Different price-category hotel rooms, located in the centre of Madrid and in particular near the Congress Venue, have been reserved by our Travel Agency OIC Way for the duration of the Congress. Only bookings made in advance through OIC Way srl will secure these rates. Participants are asked to book online via the Congress website www.eugs.org , available from November 2009, and no later than May 12th, 2010 in order to ensure that hotel reservations are confirmed properly.

The indicated rates, calculated in Euro, are special congress rates, not valid in other periods of the year and include overnight stay, breakfast, service and taxes, V.A.T .
All rates quoted on the hotel booking form are per room and per night (not per person). Room rates also include breakfast, service, taxes and VAT, unless otherwise stated. Please settle all extra expenses directly with the hotel before checking out.
Please indicate your first choice of hotel category on the hotel booking form, and also your second choice of category that we should book if your first choice is unavailable.
OIC WAY will charge € 20.00 (including VAT) as Booking Fee for each reserved room.
You are kindly requested to return the hotel booking form, giving details of required accommodation, together with the appropriate deposit (see chart). Early booking is recommended to avoid disappointment. No telephone reservations can be accepted.
DEADLINE FOR GUARANTEED ACCOMMODATION
Accommodation cannot be guaranteed for requests received after 13 May 2010, although OIC Way srl will make every effort to meet your requirements. We will operate on a first come, first served basis with incoming requests. Reservations will be processed only if a deposit is received.GROUP RESERVATIONS

Reservations cannot be confirmed until the pre-payment and handling fee are correctly received. Room confirmations with the hotel reservation details (hotel name and full address) will be sent to participants upon receipt of the requested amount.TERMS OF PAYMENT
Please note that your registration and/or hotel reservation cannot be processed without payment. Please submit your payment information together with the completed registration form. You may pay by credit card or bank transfer (see details below). We strongly encourage on-line registration (credit card payment only).You can choose from the following payment methods:

CANCELLATION AND REFUNDS
Any changes or cancellations in connection with registration fees, hotel accommodations or excursions must be made in writing to O.I.C. s.r.l., Fax +39 055 5035230, E-mail: registrationegs2010@oic.it.Cancellation of the registration, social events and hotel reservation will be accepted only until May 12th, 2010. In case of cancellation please apply in writing to the Organizing Secretariat. The paid amount will be refunded with a deduction of 30% for administrative charges for each cancellation except booking fees. We regret to inform that no refund will be processed for cancellations received after May 12th, 2010. In case of change please apply to the Organizing Secretariat. In the event of no-show OIC WAY reserves the right to cancel the reservation. No shows cannot be refunded. Refunds will be dealt with after the Congress.
