Each participant receives a name badge upon check-in at the Registration desk.
The badge is the official Congress pass and must be worn at all times.

Badges are colour-coded as follows:

  • Gold - EKA Board Member
  • Blue - Faculty Member
  • Transparent - Participant
  • Yellow - Industry Member

Certificate of Attendance

Regularly registered participants receive a certificate of attendance included in the
registration kit.

Catering Facilities

Coffee breaks are included in the registration fee and offered in the exhibition area according
to the scientific programme time schedule.
During lunch and breaks participants have the opportunity to enjoy snacks and lunch boxes
offered by the industries.
The Congress venue is located downtown Florence with plenty of restaurants and snack bars
close by.


A cloakroom is available for participants in the basement floor close to the exhibition area and
the lecture hall (Auditorium).

Commercial Exhibition - Technology Points

The technical exhibition area is located in the basement of Congress venue adjacent to the
lecture hall (Auditorium) to maximize interaction between participants and sponsors.

The commercial exhibition is open with the following time schedule:

  • Wednesday, 3 April 14.00-18.00
  • Thursday, 4 April 8.00-19.00
  • Friday, 5 April 7.30-13.30

Florence Information Desk

You may collect useful information and leaflets on Florence at this dedicated desk located in
the Congress venue near to the Secretariat area.


The Congress Organizers do not assume any liability for personal injuries sustained or loss of, or damage to, property belonging to delegates (or their accompanying persons), either during or as result of the Congress. Participants are recommended to make their own arrangements with respect to health and travel insurance.


WiFi is available in the Congress venue - access code for participants: EKA2013.
In addition, workstations with Internet connection are located near to the Secretariat desk
and available during the Congress opening hours.
Participants are kindly requested to limit the use of Internet workstations to maximum 10
minutes to allow other delegates to benefit from this service.

Scientific Programme and Interactive Tools - iPhone/iPad, IOS, Android and web App
It is possible to download from App Store, Play Store and Web App
the application EKA 2013 containing the scientific programme, an interactive
agenda of the Congress, the real time recorded sessions, the congress maps and much more.


The official language of the Congress is English, simultaneous translation is provided in the
Auditorium (lecture hall) from English to Italian only.

Lost & Found

Lost & Found items can be recovered at the cloakroom.

Medical Care

Participants in need of medical treatment should contact the Registration desk for assistance.

Mobile Phones

The use of mobile phones in the Auditorium (lecture hall) and the other meeting rooms is
prohibited. Participants are kindly requested to keep the mobile phones turned off during
the scientific sessions.

no-Smoking Policy

For the comfort and health of all participants, smoking is strictly prohibited in the building.
In accordance with the Italian regulations this Congress follows a strict no-smoking policy.
Participants are kindly requested to refrain from smoking in any area within the Congress

Press Office

A dedicated room with Internet and IT facilities is available for journalists at the ground floor.

Opening Ceremony

Wednesday, April 3, 18.30-20.00

The Opening Ceremony of the Congress starts at 18.30 in the majestic room Salone dei Cin-
quecento within Florence town hall. Participation is included in the Congress registration
fee and it is strictly recommended to wear the name badge to gain access in the Salone
dei Cinquecento. Palazzo Vecchio is about ten minutes walking distance from the Congress
Dress code: semi formal.
