CANCELLATIONS AND REFUNDS

The paid fees will be refunded as follows:

  • within 3 February 2013: only € 25,00 will be withheld for administrative charge.
  • Within 3 March 2013: the paid fees will be refunded with a deduction of 70% as penalty charge.
  • 4 March 2013: no refund will be made for cancellations or last minute changes.

Refunds will be processed after the congress.

In order to benefit from the reservation system for the different hotel facilities available in Firenze near to the congress venue Palazzo dei Congressi, through the intermediary service of the official congress housing bureau O.I.C. s.r.l., participants may proceed with the on-line system.

The indicated room/night rates and availabilities are only feasible for reservations made through O.I.C. s.r.l. by February 04th 2013 at the latest, and include VAT taxation, service and breakfast. The hotel reservations can be confirmed by return e-mail or air-mail only upon receipt of the due pre-payment and booking fee. After the above mentioned deadline accommodation cannot be guaranteed although O.I.C. s.r.l. will make every effort to meet the participants’ requests upon availability.

The prices do not include city tax whose cost per person, per night is € 2,00 in two-star hotel, € 3,00 in three star hotel and € 4,00 in four star hotel and has to be paid directly to the hotel upon check-out.

To secure adequate overnight capacities, hotel rooms for the Congress have been contracted a long time in advance. Hotels occasionally publish online or last-minute promotion rates for a limited number of rooms which may vary from the prices contracted for the Congress.
Agencies or companies in need for group reservations higher than 5 rooms follow a dedicated procedure by contacting O.I.C. s.r.l. directly.

Payments must be processed as follows:

The participant’s and sender’s names must be clearly indicated on the transfer order as well as the payment details, a photocopy of the transfer order must be attached to the reservation form.

Cancellations and refunds

After the first night of no-show the reserved room will be automatically cancelled for the remaining nights.

No-shows and booking fees cannot be refunded in any case.

Terms and Conditions

  • Group registration is possible for companies or travel agencies wishing to register more than 5 delegates.
  • Registrations will not be accepted without work or home address and e-mail address of each delegate. The e-mail address of the sponsoring company will not be accepted.
  • It is not possible to register an accompanying person without a delegate.

How to make a Group Registration

In order to facilitate your group registration please download the “Group Registration Form” and return all the documents duly filled in and signed, together with the proof of payment to:

To benefit from the early registration fees, please forward us the payment with the signed contract before January 15th 2013.

Registration fees will be confirmed without final name list until March 15th 2013 if paid in full, according to the published registration deadlines. After the set indicated deadline the complete name list is required.
The name list must be sent as an attachment by e-mail only (no fax).

Collective pick-up (by a representative of your company/travel agency)

The opportunity of picking up your delegates' congress documents prior the official opening will be offered in order to facilitate the pre-registration procedure. We strongly suggest you to contact the OIC srl Registration Department 3-4 weeks prior to the congress and schedule an appointment accordingly.

If no appointment has been made only individual pick-up (by the delegate) will be possible at the pre-registration desk after the official opening of the congress.
However the group pick-up will be allowed only to companies/agencies who have sent the complete mandatory data for each participant.
